Three decisions that close the doors to a good meeting room

When the AV integrator is invited, the most important decisions are often already made. The table is ordered, the materials chosen, and the cabling laid out according to a general electrical drawing that no one has checked against which camera or microphone will actually be in the room. There is no longer any room to optimize the solution, only to adapt to the frameworks that have already been set.

This is not an unusual order. But it is an order where the three decisions that determine how well the installation can be optimized have already been made — by the architect, project manager, and furniture supplier, rarely in consultation with the person who will actually install and calibrate the equipment. Each decision limits the next. Together, they gradually close the doors to how good the final result can be. Therefore, when the installation begins, the work rarely involves creating the best solution, but rather making the best of the decisions that have been made.

Three decisions, three doors that close at different rates

A meeting room project does not close all doors at once. Some decisions can be changed late without significant cost. Others cannot be changed at all after a certain point, regardless of budget.

The table placement closes its door as soon as the floor plan is approved. A camera's range and angle set actual limits for where in the room it can cover the entire table. If the table is placed based on floor area and room feel, without anyone asking where the camera needs to be to see all participants, the limits are already set before any AV technology has even been discussed.

The cabling closes its door when the walls are set or the furniture is manufactured. Power, data, and AV signals need a pathway that is sized for the specific equipment to be installed, not a generic electrical drawing that assumes any technology. After that point, visible cabling or costly renovations often remain.

Material choices closes its door when they are ordered. Glass, concrete, stone, and other hard, reflective surfaces often look luxurious on a drawing, but they also determine the room's acoustics in a way that no microphone can compensate for afterward. A microphone can be moved a few centimeters. It cannot change how sound bounces between a glass wall and a stone slab.

What the AV integrator actually does during the installation is work within the boundaries that these three decisions have already set. The later the AV integrator comes into the process, the narrower those boundaries become.

What it looks like in practice

A table placed in the middle of the room, according to a drawing that prioritized area over sightlines, rarely provides a wall where a single camera can cover the entire meeting. Moving the table on the drawing takes minutes. Solving the same problem after the floor is laid usually means a second camera, with its own cabling, mounting, and configuration. The alternative is to move the table when floor boxes and conduits are already in place, which can involve demolition and several days of extra work.

A piece of furniture delivered without prepared conduits, because no one asked what equipment would be installed before the order was locked, results in visible cable stubs along the table legs. It is rarely technically serious. It is often the first thing a user notices in the room, and the hardest to fix without replacing the furniture.

A room with hard surfaces, chosen to look expensive, creates an echo that no microphone upgrade can solve. Remote participants hear themselves bouncing back, regardless of how good the microphone system itself is. The problem lies in the walls, not in the equipment.

None of this is unusual. It is what happens when three decisions that should be made together are made separately, at different stages, by different roles that have not communicated with each other.

This does not apply to every room.

A small standard room with simple furnishings and a proven technical solution often does well even if these decisions have never been discussed together in detail, provided that the room follows a solution that has already worked in similar contexts before. The risk there is manageable, and the requirement for early coordination is lower.

What is described here weighs heavier in rooms with high demands for hybrid quality, unusual room shapes, or where camera coverage and acoustics are crucial for how the meeting is actually experienced by those not in the room. In those projects, it is not a matter of being cautious. It is a matter of the three doors closing regardless, with or without the right decisions behind them.

Questions that reveal where you are in the process.

Three questions, asked before the drawing is approved, say more about a project's risk situation than what stage the project is formally in:

Is the placement of the table determined in relation to where a camera needs to be to see the whole room, or determined based on floor space and layout?

Is the conduit designed for the specific equipment that will be installed, or is it a general electrical drawing that assumes any technology can be fitted in later?

Are the material choices that affect the room's acoustics confirmed before they are ordered, or is the acoustics discovered only when the room is already built?

If the answer to any of them is "don't know yet", it is a clearer sign of where in the process you actually are than what stage the timeline indicates.

When the three questions are answered before the drawing is locked, all three doors are still open. If you wait until the installation begins, at least some of them have already closed.
